BOARD MEMBERS and LEAD/TEAM RESPONSIBILITIES

The Board Collectively

  • Meet monthly to discuss matters pertaining to the band and the programs and events under its purview

  • Recruit and support board members and Leads

  • Manage finances with the Treasurer

  • Registration:

    • Coordinate all needed materials (tables, signs, sign-up sheets, forms, etc.) 

    • Coordinate with treasurer for registration forms and prices

    • Coordinate with Volunteer Lead for adult and student volunteers

  • Band Camp materials: coordinate lanyards, name tags, water bottles, water bottle labels, music notebooks, etc. (work with Band Camp Lead for assistance)

President

  • Main representative with/for the directors at NGHS events (Rising 9th grade night, Suwanee Fest parade, etc)

  • Co-sign checks

  • Prepare agenda for upcoming meetings with VP 

  • Point of contact for the following Leads:

    • Pit Crew (Equipment & Props)

    • Uniform Lead

    • Spirit Wear

    • Photography Lead

    • Kindness Committee

Vice President

  • Fill in for President during meetings and duties

  • Point of contact for the following Leads:

    • Band Camp Lead

    • Volunteer Lead

    • Food Lead

  • Prepare content for weekly email during marching band season (in conjunction with directors and president)

Treasurer

  • Provide & track all monies/change for Spirit Wear & other sales

  • Accept fees and keep student accounts current with charges, credits, & payments as well as providing statements

  • Deposit checks from fundraisers and band fees

  • Write checks for approved purchases

  • Pay bills for the band, color guard, & drumline as requested and approved by the budget

  • Reconcile the accounts and provide reports to the board at monthly meetings

  • Maintain records for taxes and submit to the accountant and IRS, report filing to the board

  • Point of contact for the Fundraising Lead

Secretary/Communications

  • Take minutes at all meetings

  • Help send out emails

  • Keep bylaws updated

  • Point of contact for the Publicity/Social Media/Web Lead 

Color Guard Representative

  • Represent Color Guard at monthly board meetings

  • Recruit volunteers from guard parents to chaperone practices and winter guard competitions

  • Organize chaperones for fall/winter guard competitions

  • Measure students for color/winter guard uniforms

  • Assist Guard director with requested tasks  

TEAM LEADS

Uniform Lead (with the help of a team)

  • Size and check-out uniforms for marching season

  • Coordinate volunteers to hem and repair uniforms

  • Maintain database of uniforms in order to track bibbers, shakos, jackets, etc. in the event of being misplaced

  • Check-in and inventory all uniforms at the end of the school year

  • Coordinate wash crew for uniforms.

Fundraising Lead (with the help of a team)

  • Coordinate monthly Spirit Nights

  • Develop new fundraising ideas

  • Coordinate with businesses for sponsorships

  • Organize fundraisers–one person per fundraiser

Volunteer Lead (with help of a co-lead and a team)

  • Coordinate volunteers for practices

  • Coordinate volunteers and hand out/collect badges and assign duties for Friday games

  • Coordinate volunteers and assign duties for marching competitions

  • Coordinate water and ice for Friday football games and marching contests

  • Keep medicine bag stocked and health log updated

  • Sign out early checkouts of games and competitions.

Pit Crew:

  • Work with directors to design/build sets and props for games and competitions

  • Equipment Lead (with the help of a team)

    • Organize vehicles to tow trailers and coordinate the loading of instruments/equip/props into trailers at games and competitions.

    • Coordinate repair and maintenance of trailers throughout the year

  • Prop Lead (with the help of a team)

    • Organize pit volunteers before, during, and after performances and competitions and assign duties for performances

 Publicity/Web/Social Media Lead

  • Publish new business, current booster events, competition and event information for the whole band department on the website and various social media accounts.

  • Create newsletters, programs, flyers as needed

  • Social media presence (Facebook, Twitter, Band App)

  • Maintain NGHS Band web page and online store

  • Create online meal signs up as needed for the Food Lead

 Food Lead (with the help of a team)

  • Coordinate meals and snacks for band camp.

  • Coordinate and order game day and competition meals and snacks

Spirit Wear Lead

  • Maintain inventory of all spirit items

  • Coordinate the ordering of new items to be offered for sale

  • Coordinate selling spirit items at band sponsored events

Band Camp Lead (with the help of a team)

  • Work with board officers to help with lanyards, name tags, water bottles, water bottle labels, music notebooks, etc. 

  • Organize extra daily activities/games for band camp

  • Assist Food Lead to organize meals and snacks

  • Assist Volunteer Lead and Food Lead to get volunteers for practices and for serving meals.

Kindness Lead (with the help of a team)

  • Coordinate hospitality for visiting bands

  • Coordinate Band Moms/parents nights out

  • Coordinate Senior Night 

  • Coordinate treat bags for students on competition days

  • Coordinate treats for Pit Crew for away games and competitions

  • Assist Board P&VP with Volunteer Appreciation dinner at the end of the season

  • Coordinate Band Awards Night at end of school year

Photography Lead

  • Coordinate all senior pictures to be taken during band camp

  • Take full band picture in uniform during band camp

  • Create a schedule between all the photographers to ensure pictures are taken at all football games, competitions, band camp, practices, and concerts

  • Ensure all photos are uploaded to Google Drive and some to the Band app and the parent Facebook page

  • Coordinate with the football program chair to ensure the band picture, senior pictures, and band write-up are submitted on time
